Specialist electronic record and document management solutions provider, Paper 2 Digital Storage Solutions (P2D), is upbeat about IDC’s forecast for IT cloud services. IDC predicts a five-year annual growth rate of 26 percent, over six times the rate of traditional IT offerings and it says 27 percent of the US $27-billion in net new IT revenue in 2013 will come from IT cloud services.
“Electronic record and document management solutions providers who do not position themselves as IT cloud services leaders over the next few years, will forfeit larger and larger portions of the highest-growth markets,” says P2D CEO Dawid Jacobs.
Traditionally, companies stored their physical documents in archives and encountered major problems trying to manage and retrieve specific documents. This method proved to be costly and with many legal implications, especially with lost or damaged documents being a common phenomenon.
“Cloud services will certainly have a major impact on the IT market over the next couple of years and given the growth potential of cloud services offerings over traditional ones, that percentage will grow very quickly in subsequent years,” he adds.
P2D’s offering is a full-service, end-to-end solution ranging from scanning and indexing of archives to electronically storing and managing of secure documents and records on highly secure database servers. Jacobs says knowledge workers need to process more and more information each day. “The ongoing information growth and more importantly, the inability to manage and find all this information, has a major impact on the productivity levels of individuals.”
According to IDC, in 2008 alone, more than US $1.5-trillion was lost in employee productivity as a result of information overload. It reported that employees spend half of their time handling various kinds of information. The report shows that 75 percent of employees complain about information overload and 45 percent are reportedly overwhelmed by all the information.
The inability to get the right information to the right person at the right time is also cited as a problem. 45 percent of the employees surveyed said they had the information they needed less than 75 percent of the time. So, 25 percent of the time, they could not find the information they needed or they had to make a decision based on incomplete information.
IDC says an average company of 500 people could easily save more than R16-million per year by implementing proper information management systems that help the employees manage and combat the information overload.
"Adoption of advanced public cloud storage services is being driven mostly by cost-savings objectives: the desire to outsource or offload IT tasks and an overarching strategy to decapitalise select components of IT," said Laura DuBois, program vice president at IDC. "Additionally, we see the use of basic public cloud storage services being driven by service providers seeking to leverage third-party infrastructure to satisfy end users that are looking for an offsite, lower tier of storage for backup or archive data."
Jacobs says we need technology to help us manage, filter and navigate all the information available and keep us focused. “Although paper-based document management is still the norm, most companies now realise the risks associated with maintaining and managing their information. This information is crucial to decision making and needs to be easily accessible. They now understand the importance of capturing and storing their information electronically.”
